Operations Assistant

Essential Job Responsibilities
• Function as a customer service representative in all interactions with club members and their families
• Answer incoming calls
• Deliver telephone information/messages to appropriate personnel in a timely manner and recognize high priority and confidential mail as an essential priority
• Assist with making daily deposits when directed by Operations Administrator
• Other responsibilities as assigned
• Utilize Member Tracking software to register members, maintain membership and member attendance records
• Assist with monthly billing statements for all members and ensure expedient payments of member fees by contacting members via phone who owe money on a bi-monthly basis (or more, if needed) as directed by Operations Administrator
• Other responsibilities as assigned
• Assist with the planning and execution of mailings associated with special events or various development campaigns
• Assist with registration of guests for TOWBGC events via email and telephone, and check-in attendees at events
• Assist staff with ensuring supplies for events are procured and delivered to special event venues
• Other responsibilities as assigned

Skills / Knowledge Required
• Experience in Microsoft Office Suite (Excel, Word, PowerPoint) and database management
• Knowledge of general administrative and office procedures and systems including typing, composing letters, and basic business management and budgeting processes
• Good written and oral communication and interpersonal organizational skills in order to deal with a diverse group of individuals
• Must be a team player who is able to think logically and analytically
• Ability to work under pressure and produce results in a timely manner
• Ability to manage multiple tasks and to develop solutions to problems with limited supervision
• Ability to establish and maintain effective working relationships with Club staff, Board members, community groups, and other related agencies

Skills / Knowledge Preferred
• Experience working for a nonprofit and/or youth development agency
• Associate’s Degree in business or related field from an accredited college or university or 2 years’ experience in an administrative assistant position
• Experience working with member tracking software or databases
• Experience in event planning and working with vendors
